What a template won’t do for you

In a Word template you look up the hospital, the weather and parking yourself and recalculate every time. Here you enter the address, and the rest appears on the sheet.

Weather and sun times

Sunrise, sunset, golden hour, temperature, chance of rain and wind for the location and the shoot day, right under the times.

The nearest hospital

Name, address and phone number of the nearest hospital, marked in red so nobody has to search for it in an emergency.

Parking at the location

Parking nearby with distance, right on the location card. Plus building access and shooting areas as separate fields.

How to make your call sheet

From a blank sheet to a finished call sheet in a few minutes, without a form or a password.

  1. Head of the call sheet with client, production, production office and the four times general call, shooting call, lunch and wrap.
    STEP 1

    Header and location

Enter the shoot day, client, production and the four times, then pick the location with its address. Weather, parking and hospital show up on their own.

  2. Running order with eight shots, each 30 minutes, from 07:00 to 11:00.
    STEP 2

Running order from the shot list

Add shots from your shot list, put breaks and moves in between. Each entry has a duration, and the times follow from the shooting call.

  3. Talents and crew panel: three talents and two crew members, each with role and own call time.
    STEP 3

    Cast, crew and send

Add talents and crew with role, phone and their own call time. Then export the call sheet as a PDF and send it.

Everyone with their own time

Camera sets up at 06:30, the barista arrives at 07:00, the extras not until 08:30. A call sheet with only one time keeps people waiting for hours.

Talent table with name, role, call, time window, makeup and release, and a crew table with name, position, call, contact and remark.

Talents with makeup and release

Role, call time, time window and makeup per talent. A checkbox shows whether the release has been signed.

Crew with contact

Position, call time, phone number and remark. Whoever is looking for someone in the morning finds the number on the sheet.

Sections as you need them

Interviewees, B-roll, setup order, equipment, permits, catering, notes and emergency contacts. Whatever you don’t need, you hide under Sections.

Call sheet checklist

What needs to be on the sheet the evening before the shoot, so nobody has to call in the morning.

Call sheet or Tagesdispo?

The same document under two names. German-speaking productions call it the Tagesdisposition, Tagesdispo or Dispo for short; internationally it’s the call sheet. There is one per shoot day, and it tells everyone when to be where and what gets shot.

The checklist

  • Header: project, date, day x of y, client, production and a phone number for the production office.
  • Four times: general call, shooting call, lunch and wrap, large and at the top.
  • Light and weather: sunrise, sunset, golden hour and chance of rain. For exterior shoots that decides clothing and order.
  • Location: address, parking, building access and which rooms you use.
  • Emergency: nearest hospital with address and phone, plus the local emergency number.
  • Running order: the shots in shooting order with time and duration, including breaks and moves.
  • People: talents and crew with role, their own call time and phone number, plus client contacts on site.

Common mistakes

  1. The call sheet was copied from the last shoot, and the hospital is in the wrong city.
  2. One shot in the running order gets longer, but all the times after it stay the same.
  3. Everyone has the same call time, and the talent sits in makeup for three hours for no reason.
  4. The parking note is missing, and at 06:30 the camera van is looking for a space.

Tip: write the shot list first. Then the running order is only a question of sequence, and the times work themselves out.

Free call sheet FAQ

Is the call sheet really free?

Yes. The call sheet in TillyBoard Free costs nothing, needs no sign-up and no credit card. The shot list and the shoot day schedule are free as well.

Where do weather, parking and hospital come from?

From the location address and the shoot date. The call sheet then shows sunrise, sunset, golden hour, temperature, chance of rain and wind, parking nearby and the nearest hospital with address and phone number. Check the hospital before you send the call sheet.

Do I have to type the running order by hand?

No. You add shots from your shot list, plus breaks and company moves. Each entry gets a duration, and the times are calculated from the shooting call.

Can every person get their own call time?

Yes. Talents and crew each have a role and their own call time, and both appear in their own tables on the call sheet.

Where is my call sheet stored?

Without an account, only in the browser you are using. Nothing is stored on a server. If you clear the browser data or switch devices, the call sheet is gone. To keep it, save it to a free account.

Can I export the call sheet as a PDF?

Yes. The PDF button sits above the call sheet, so you can send it to cast and crew or print it for set.

What is the difference from a call sheet template?

A template is an empty form. Here the times of the running order are calculated, and weather, sun times, parking and the nearest hospital are looked up from the address instead of being researched by hand.
